Overview

An established construction firm is seeking a Construction Project and Operations Coordinator to support active construction projects and internal operations.

This role is best suited to someone currently working within a General Contractor or construction management environment who understands project documentation, subcontract processes, and the pace of active job sites.

The successful candidate will play a key role supporting project managers, site teams, accounting, and leadership while ensuring documentation, cost tracking, and communication are organized and accurate.

This is a hands on coordination role within a construction setting.

Key Responsibilities

Project Coordination

Provide administrative and coordination support across multiple active construction projects

Prepare, track, and maintain project documentation including RFIs, shop drawings, change orders, site instructions, subcontracts, purchase orders, monthly billings, close out documentation, and statutory declarations

Maintain accurate project logs and ensure documentation is current and properly filed

Distribute time sensitive information to site teams, trades, consultants, and project stakeholders

Assist project managers with bid submissions, tender documentation, and contract administration support

Support job start up and close out requirements

Project Accounting Support

Process and track invoices from subcontractors and suppliers

Review trade statements and assist with reconciliations

Assist with progress billings and cost tracking

Maintain organized subcontract and purchase order records

Track cheque releases and required documentation such as CCDC forms

Work closely with accounting to ensure accurate and timely project reporting

Construction Operations Support

Coordinate labour tracking documentation and support site administration

Assist with union related documentation and reporting where required

Support health and safety documentation tracking and training coordination

Assist with WSIB claims and incident documentation

Ensure project and safety records remain organized and audit ready

Systems and Documentation Control

Utilize construction and accounting platforms such as Jonas, CMIC, QuickBooks, Microsoft 365, MS Project, and Bluebeam

Maintain organized digital filing systems for all active and completed projects

Identify opportunities to improve documentation processes and workflow efficiency

Support onboarding of staff on internal systems and documentation procedures

Qualifications

Three to seven years of experience working for a General Contractor or within a construction environment

Strong understanding of construction documentation and project lifecycle

Experience supporting subcontract administration and project cost tracking

Comfortable reviewing invoices, trade statements, and basic accounting documentation

Strong proficiency in Microsoft 365 and document management systems

Experience with construction software such as Jonas, CMIC, or similar platforms is an asset

Highly organized with strong attention to detail

Able to manage multiple active projects simultaneously

Strong communication skills and ability to coordinate with site teams, trades, and consultants
