THE OPPORTUNITY

Our client is a respected, multi-office architecture and design practice seeking an Architectural Coordinator with a technical background to join their dynamic team and work in-office in the Downsview area on a confidential high level government projects. This well-established firm is known for delivering high-quality work amid a collaborative environment. *Eligible candidates must have been living in Canada for the past 10 years in order to obtain security clearance in a timely process. 

THE ROLE

 

In this role, you’ll work closely with project leadership and contract administration teams, playing a key part in keeping projects organized, compliant, and moving forward smoothly—from early phases through completion.

What You’ll Be Doing

  • Coordinate and circulate technical and administrative project information across all phases of design and delivery

  • Oversee project documentation workflows, ensuring accuracy, consistency, and alignment with internal quality standards

  • Track and manage schedules for key project milestones including RFIs, shop drawings, payment certificates, and other submissions

  • Lead document control processes and act as a liaison between internal teams and external consultants, contractors, and clients

  • Participate in internal project meetings, prepare meeting minutes, and follow up on action items to keep teams aligned

  • Prepare, issue, and archive drawings and documents, ensuring required seals and approvals are in place prior to distribution

    Communicate professionally and confidently with senior staff, clients, and project stakeholders

What We’re Looking For

  • Solid understanding of the architecture and engineering consulting environment with prior experience as an architectural coordinator, project administrator, project management assistant, architectural technologist including coordination responsibilities, contract administration assistant, project coordinator or similar. Strong verbal communication skills—comfortable in meetings, one-on-one discussions, and phone conversations

  • Excellent written communication skills, with a sharp eye for detail, editing, and quality control

  • Advanced proficiency in Microsoft Office and the ability to produce polished reports, documents, and presentations

  • Post-secondary education in Architecture, Engineering, or a related discipline

  • Eligibility to obtain Secret-level security clearance is essential (requires you have been in Canada the past ten years for a time sensitive check)

Experience

  • 2–4 years of relevant experience supporting architectural, engineering, or construction projects with at least 2 years working knowledge of Canadian building codes. This role offers exposure to complex, meaningful projects and the chance to grow within a collaborative, professional design environment.
